Privacy Notice

1. About this notice

This notice applies to maven-interpreted.com (Maven Interpreted), the interpretation website of Maven International. Our translation and localisation website, maven-international.com, has its own Privacy Notice, because each website has its own analytics and visitor-insights set-up and its own cookie choice.

This notice explains what personal data Maven International collects through this website and through our interpretation business, why we use it, who we share it with, how long we keep it, and what rights you have. It covers our website visitors, our clients and prospective clients, the business contacts we approach, our newsletter subscribers, our freelance interpreters and other vendors, and people who apply to work for us.

Personal data is information about an identifiable person. Details about an organization are not personal data in themselves, but the names and contact details of the people who work there are.

2. Who is responsible for your data

The company responsible for your personal data (the data controller) is:

Maven International operates through four companies: Maven International Language Solutions Limited (Ireland), Maven International LLC (United States), Maven International Solutions LLC (United Arab Emirates) and Maven International Sdn Bhd (Malaysia). If you have a contract with one of the other three companies, that company is also responsible for the personal data it needs to perform the contract, and it follows this notice. You can send any privacy question or request, for any of the four companies, to the address above.

One standard, wherever you are

We apply the standards of the EU General Data Protection Regulation (GDPR) to all the personal data we handle, wherever you live. The GDPR applies to us by law for people in the European Economic Area, which is the EU plus Iceland, Liechtenstein and Norway. For everyone else, it is the standard we choose to follow. If the law where you live gives you additional rights, those apply as well.

3. What we collect

Website visitors

When you visit this website, technical data such as your IP address, browser, device type and the pages you view is processed so that the site can be delivered and protected. If you allow it, we also use analytics and visitor-insight tools, described in section 8.

Enquirers and clients

Your name, organization, job title, email address and phone number, the messages you send us, project details, and billing information.

Business contacts

We contact organizations that may need our services. For this we use business contact details (name, job title, organization, business email address and phone number) obtained from business data providers and from public professional sources. When we first contact you, we tell you where we got your details.

Newsletter subscribers

Your email address and, if you give it, your name.

Freelance interpreters and other vendors, and vendor applicants

Your name, contact details, organization where relevant, CV and the information in it, work history, professional experience, qualifications, education, references, language combinations, specializations and rates. Once you work with us, we also hold the bank or payment details and tax information needed to pay you, and a record of the assignments you have completed.

Job applicants

Your name, contact details, CV and the information in it, work history, qualifications, education, references and, where the law requires us to check it, your right to work.

CVs sometimes include details we do not need, such as health information or a photograph. Please leave these out. If they are included, we do not use them.

People named in material we interpret or translate

Meetings we interpret and documents we translate often contain personal data about other people, sometimes including sensitive information such as health details or a person's origin or beliefs. For this data our client is the controller, and we act as its processor on its instructions. We use the data only to complete the assignment, under the obligations in our Confidentiality Standards.

4. Why we use it

In GDPR terms these are consent (Article 6(1)(a)), contract (Article 6(1)(b)), legal obligation (Article 6(1)(c)) and legitimate interests (Article 6(1)(f)). Where we rely on a legitimate interest, we have checked that it is not outweighed by your rights, and you can object at any time. Where we rely on consent, you can withdraw it at any time.

We do not make decisions about you by purely automated means.

5. Who we share it with

We do not sell personal data. We share it only where needed:

• Freelance interpreters and other vendors working on your project receive only what the assignment requires, and are bound by a non-disclosure agreement.
• Other Maven International companies, where needed to serve you or to run the group.
• Service providers that run our email, website, project management and business systems. They act on our instructions under written contracts.
• Analytics and visitor-insight providers, only if you allow this on this website (section 8).
• Banks and payment providers, which receive only the details needed to make or receive a payment.
• Our accountants and auditors, who see invoices and payment records when they prepare our accounts, and legal advisers if we need advice on a claim or dispute. They are bound by professional duties of confidentiality.
• Public authorities, where the law requires it.

6. International transfers

Our companies are based across the globe, in Ireland, the United States, the United Arab Emirates and Malaysia, and our freelance interpreters and other vendors are based across the globe too. Personal data may therefore be transferred to, or accessed from, countries outside the European Economic Area.

Where the GDPR requires a safeguard for such a transfer, we use the European Commission's Standard Contractual Clauses, including in our agreements with vendors outside the European Economic Area. You can ask us for a copy of the safeguards that apply to your data.

7. How long we keep it

We keep personal data only as long as we need it for the purpose we collected it for.

• Clients and vendors: for the duration of our relationship, and afterwards for as long as reasonably necessary for accounting and tax, contractual and legal claims, and quality records.
• Tax and accounting records: for the period required by the law of the country concerned.
• Enquiries and business contacts: while the contact remains relevant to our business, and never after you ask us to stop contacting you.
• Job applicants: for the recruitment process and a reasonable period afterwards in case of questions about the decision. If you join us, your application becomes part of your employee record.
• Newsletter: until you unsubscribe. After that we keep only your email address on a suppression list, so that we do not email you again.
• Your cookie choice: 12 months, stored in your browser.

When we no longer need personal data, we delete it or make it anonymous.

8. Cookies and similar technologies

Essential

Our website platform uses a small number of cookies needed to deliver pages, handle forms and protect the site. We also store your cookie choice in your browser. These are always on.

Analytics, only with your consent

With your permission, we use a tool that shows us, in aggregate, which pages of this website are used and how visitors move through the site. We do not use it for advertising.

Visitor insights, only with your consent

With your permission, we use a tool that can match a visit, usually through the visitor's IP address, to the organization it came from, so our team can follow up with businesses that show interest. This tool may be provided by a company based outside the European Economic Area, including in the United States.

Your choice

Analytics and visitor insights are two separate choices, both off until you switch them on. On your first visit you can accept all, reject all, or manage each choice separately, and rejecting takes the same one click as accepting. You can change your choice at any time with the Cookie preferences link at the bottom of every page. We do not use advertising cookies. This website has its own analytics and visitor-insights set-up, and your choice here applies to this website only; maven-international.com asks for and stores its own choice.

9. Your rights

You can ask us to:

• give you a copy of your personal data;
• correct it;
• delete it, unless we have to keep it for legal or contractual reasons;
• restrict how we use it while a question is resolved;
• give you the data you provided to us in a portable format.

You can also object to our use of your data where we rely on a legitimate interest, object to direct marketing at any time, and withdraw your consent at any time. These rights come from the GDPR, and we give them to everyone whose data we hold.

How to make a request

Email admin@maven-international.com. We may ask you to confirm your identity. We aim to respond within 10 working days. The legal deadline is one month, which can be extended by two further months for complex requests; if we need longer, we will tell you why.

Data in material we interpret or translate

If your request concerns a meeting we interpreted or a document we translated for a client, we pass it to that client, who is responsible for the data. We help the client respond, and we let you know we have done so.

Complaints

If you have a concern, please contact us first at admin@maven-international.com so that we can put it right. You can also complain to the Irish Data Protection Commission (www.dataprotection.ie), or to the data protection authority where you live or work.

10. Security

Access to personal data is limited to the people who need it for their work. Everyone working on an assignment signs a non-disclosure agreement before receiving any material. The detail is in our Data Protection and Confidentiality Standards pages, which apply to both of our websites.

If a personal data breach is likely to put people's rights at risk, we notify the Irish Data Protection Commission within 72 hours of becoming aware of it, and we tell the people affected without undue delay if the risk is high.

11. Children

This website and our services are intended for organizations and professionals, and we do not knowingly collect personal data from children. Children's data can appear in material we interpret or translate for clients, for example in family or asylum cases. We handle it as described in section 3.

12. Changes to this notice

We update this notice when our use of personal data changes. The date at the top shows the current version. If a change affects the cookies or similar technologies we use, we ask for your choice again.
